Job Opportunity: Bilingual Administrative Assistant
📍 Location: Denver Metro Area (Office-based)
Schedule: Monday–Friday (Full-time or Flexible Part-time)
Proposed Schedule :
Monday To Friday 7:00 AM to 3:30 PM ( Weekends Off )
Overtime Available In the Winter Season
Our growing maintenance services company is seeking a dependable and detail-oriented Administrative Assistant to support two business owners with daily office operations. This role is ideal for someone with prior construction or facilities service industry experience who can keep our business organized and efficient.
Key Responsibilities:
Log and calculate employee payroll hours accurately
Assist with scheduling and dispatching field teams
Prepare estimates, proposals, and client communications
Assist with RFP (Request for Proposal) and RFQ (Request for Quote) preparation
Track company purchases and reconcile expenses
Track Employees Expense Receipts
Maintain subcontractor files, insurance certificates, and compliance documents
Help resolve invoice discrepancies or disputes
Manage company vehicle fleet: schedule service, track registrations, handle tolls, and keep records current
Support marketing and outreach activities
General office administration (calls, emails, filing, data entry, etc.)
Provide direct support to ownership with day-to-day business needs
Run occasional errands (collect signatures, deliver/return purchases, etc.)
Qualifications:
Minimum 3 years of office experience in construction, property maintenance, or a similar setting
Proficient in Excel, Google Suite, and Microsoft Word
Experience with QuickBooks Online a strong plus
Strong organizational and time-management skills
Experience with payroll, invoicing, or job costing preferred
Ability to multitask and adapt in a fast-paced environment
Professional written and verbal communication skills
Must have a valid driver’s license and clean driving record
